Is it Time to Destroy Your Documents??
In an effort to be more efficient, beginning August 1, 2003, the Office of
Records Management will review current retention schedules and will e-mail
departments regarding what files have met their retention period and are
ready to be destroyed. The “Authorization to Destroy and Disposition Forms”
will be completed by Records Management personnel and forwarded to the
departments along with the list of all files to be destroyed. If no response
is received within one (1) week, the files will be destroyed. If the
department wishes to keep the files they must inform the Records Management
Office in writing.
Any requests to keep records past their retention date must be approved by
U.T. System. If there is litigation or if there are good reasons, system
will grant such an extension.
If your department has inventoried your documents, but have not submitted
retention schedules, we ask that you do this as soon as possible.
If you have any questions regarding the new procedures, please contact
Yolanda Palmer at extension 3861.
Thank you
