COLLEGE WORK STUDY Time Card FAQ

  1. What if my supervisor is out of the office when time cards are due? Who is responsible for approving the time card?
    Follow the chain of command. Get the approval from the person left in charge or from the Director or Dean.
          
  2. I’m not working the day the time card is due, who will turn in my time card?
    It is your responsibility to turn in your time card by the due date. The time card may be turned in a day or two before due date or get assurance from the supervisor that he/she will turn it in for you on the due date.
           
  3. When will I get paid? 
    All student employees will be paid semi-monthly (follow semi-monthly schedule).
          
  4. Where do I pick up my paycheck?
    Work-studies working on campus:
    - Paychecks are distributed on payday to each department. The administrative personnel from your department will distribute the checks.
          
    Work-studies working off-campus :
    - Paychecks will be distributed at the Payroll Office.
    ** We highly recommend that all student employees enroll in our direct deposit program!
         
  5. What payroll deductions will I get? 
    CWS only receive a federal tax deduction (if applicable). Due to a change in federal law, Employment Retirement System of Texas was able to modify the State of Texas section 218 Agreement with the Social Security Administration to exclude qualified student employees from Social Security and Medicare taxes.

Employee’s responsibilities:

  1. Keep record of hours worked weekly.
  2. Make sure not to go over the hours awarded per semester.
  3. Keep a file within your office and keep copies of all approved time cards.
  4. Turn in time card by the due date.
